With the ScreenCloud Microsoft Teams Room Player, you can make your meeting spaces more useful by showing dynamic digital signage content whenever a Teams meeting is not in session. While Microsoft Teams Rooms deliver a high-quality meeting experience with certified systems and peripherals, ScreenCloud takes over in the downtime between meetings to display announcements, dashboards, schedules, branding, and other visual content. This keeps your rooms informative and engaging even when not in active use.

How to set up ScreenCloud’s Microsoft Teams Rooms player
With Microsoft Teams Rooms you can set digital signage content to display on your Teams Rooms display when there is no meeting taking place.
To do this you’ll want to use ScreenCloud’s Microsoft Teams Rooms player. Here’s how to set it up.
Set up your screen using Screencloud’s Microsoft Teams Rooms player and copy the unique URL
Open the Microsoft Teams Rooms player URL in your computer’s internet browser: https://mtr.screencloud.com
Click on the pairing code to copy it.
In a new tab, go to https://auth.screencloud.com and login to your ScreenCloud account and then select the “New Screen” button at the top right.
Paste in the pairing code that you copied from the ScreenCloud Microsoft Teams player and select “Continue” to pair your screen.
Give your screen a name and set the content you would like to display.
Next, go back to the tab with your Microsoft Teams Rooms player. You’ll see that your content is now playing. Open the player’s side menu by moving your mouse to the top right corner and selecting the side menu button.
Next, in the side menu, select the “Copy unique URL” button to copy the unique URL for the Microsoft Teams Rooms player instance you’ve just set up.
You will see a pop-up explaining that the URL of your player instance will be copied to your clipboard, after which a new player instance will be loaded. Select “Yes, I’m sure”. After you do this you will see that a new player instance will load, showing a new pairing code.
If you are afraid of losing the unique URL you just created, you can paste it in a note taking app of your choice for safekeeping until you use it.
A Microsoft Teams Room player set up with a unique URL can only function on a single device. If the same URL is used on another device, one of them will disconnect because the player can support only one ScreenCloud pairing and license at a time.
In addition, the player does not support dual screens or dual FoR screens.
Set the unique URL for your screen to be the digital signage content for your Microsoft Teams Room
Next, go to your Microsoft Teams Rooms Pro Management Portal to set your Microsoft Teams Rooms Player instance as the digital signage content for your Microsoft Teams Room by going to this URL in a new tab and loging in with your Microsoft account:
Go to “Settings > Digital signage” in the sidebar and then select “Add source”.
Give your source a unique name and then select “Next”.
Next, select “Custom” and paste the unique URL that you copied from your Microsoft Teams Rooms player instance into the URL field and then select “Next”.
Show that you acknowledge the terms by selecting “Next”.
Review the details of your source and then select “Submit”.
Your new source has now been added, select “Done” to complete the process.
Next, go to “Rooms” in the sidebar and select your Microsoft Teams Room that you want to set digital signage content for.
In the pop-up, go to the “Settings > Digital signage” and firstly, ensure that the “Digital signage" option is turned “On”, and then also ensure that the “Show Teams Rooms banner” option is turned “On” and set how long of a display period you want before your digital signage is activated. We recommend 1 minute.
Next, scroll down and ensure that the “Allow screen timeout when device is idle” option is turned “Off” and finally select your Microsoft Teams Rooms player instance as the “Signage source”. After completing all these steps, select “Apply”.
You will see a pop-up asking you to save your digital signage settings. Select “Apply now” and then select “Submit”.
You will see another pop-up explaining that the save process will happen in the background. Select “Skip and Close” to continue.
Good job! You have successfully set up your Microsoft Teams Room to display the content you set for the matching ScreenCloud screen in your account.
