ScreenCloud Google Meet Rooms player

Learn how to set up ScreenCloud’s Google Meet player to show digital signage on your screens when no meeting is in progress.

ScreenCloud’s Google Meet player lets you display engaging digital signage content when your meeting room screen isn’t in use, helping you make the most of your screen’s visibility and value between meetings. When paired with Google Meet hardware, you can create a powerful video conferencing setup with high-quality video, audio, and content sharing for any room size, from small huddle spaces to large conference rooms.

Requirements

To set up ScreenCloud with Google Meet, you’ll need the right account access, hardware, and network configuration to ensure everything runs smoothly.

  • A Google Workspace account with available licenses for each device and admin access to the Google Admin console.

  • A compatible display (1080p recommended) along with certified camera, microphone, and speaker hardware.

  • A stable internet connection with at least 3 Mbps per participant and latency under 50 ms for smooth video performance.

  • Enrollment of each Google Meet device via Admin console > Devices > Google Meet hardware.

Set up and enroll ChromeOS or Google Meet Hardware devices

Before setting up ScreenCloud for Google Meet, make sure your devices and accessories meet the necessary requirements.

Next, sign in to the Google Admin Console using an administrator account. Set up and connect your hardware following Google’s official setup instructions:

Once your devices are set up and enrolled with a Google license in your account, verify that they appear in your Admin Console under Devices > Google Meet hardware > Devices.

How to set up ScreenCloud’s Google Meet player

With your Google Meet or ChromeOS hardware enrolled, you can now assign the dedicated ScreenCloud Player for each Google Meet device setup, which will allow your meeting room screens to automatically display ScreenClouds digital signage content during idle times, such as when no meetings are scheduled.

Set up your screen using Screencloud’s Google Meet player and copy the unique URL

  1. On your computer, open https://meet.screencloud.com.

  2. Copy the pairing code

  3. In a new tab, visit https://auth.screencloud.com, log in to your ScreenCloud account, and click New Screen.

  4. Paste the pairing code, then click Continue to pair the screen.

  5. Name your screen and choose the content you’d like to display.

  6. Once paired, return to the ScreenCloud Google Meet player tab. You should now see your content playing.

  7. Move your cursor to the top-right corner and open the side menu.

  8. Click Copy unique URL. This copies your player’s URL to your clipboard. When prompted, select Yes, I'm sure

  9. You will see a pop-up explaining that the URL of your player instance will be copied to your clipboard, after which a new player instance will be loaded. Select Yes, I’m sure. After you do this you will see that a new player instance will load, showing a new pairing code.

  10. Save the copied unique URL somewhere safe, or set it in a separate browser tab for now. This player URL is what will be used for your Google Meet setup.

Set ScreenCloud as the Screensaver for Google Meet Hardware

Now that you have your ScreenCloud Google Meet player unique URL, you can set it up as the idle screen source, the screensaver, for your Google Meet device.

  1. Go to https://admin.google.com and sign in with your admin account.

  2. In the Admin console, navigate to Devices > Google Meet hardware > Settings.

  3. Find and select ScreenSaver.

  4. Select your group of devices on the left, unless you wish to apply to all devices.

  5. On your selection of devices, scroll down to Screensaver.

  6. Apply the following settings under Content:


    a) Enable Custom
    b) Set Digital Signage provider to None
    c) Insert the unique ScreenCloud Google Meet player URL from earlier that you obtained from https://meet.screencloud.com.
    d) Apply your Start after this many minutes of inactivity time - We recommend setting to 1 minute.
    e) Apply your Show the Meet home screen this many minutes before the next meeting time - We recommend setting to 5 minutes.

  7. Click Save.

  8. Wait for the ScreenCloud Google Meet player to appear on your Google Meet hardware screen.

If you want to use https://meet.screencloud.com instead of the unique URL, you can wait for the pairing code to appear on the the Google Meet hardware’s screen and pair to this. However, it may take up to 5 minutes until the Google admin and device updates with ScreenCloud are applied, so we recommend setting up with player unique URLs for a more efficient setup.

Notes & limitations

  • Dual-screen setups are not currently supported for ScreenCloud’s Google Meet Rooms player.

  • Ensure your network allows access to ScreenCloud services - Learn what needs whitelisting here.

  • Changes in your Google Admin Console can take several minutes to apply to your screen and hardware.


Once your configuration is saved, your Google Meet display will seamlessly switch to ScreenCloud whenever it is not in a meeting, transforming your screen into a dynamic screen communication and digital signage display between sessions.
