Sharing Content Across Spaces in Your Organization

With the share option, your users can share content across spaces and to other teams within their organization.

Sharing content between spaces in Studio is useful for collaborating and sharing information between members of your organization. Your team can display content more centrally and securely, and it gets rid of the hassle of creating the same content for each space. Below, we will show you how to allow sharing for your content, whether across all users and spaces in your account or just for a select few teams.

1. The Share option

The share option for content in Studio is depicted with two user icons next to each other.

This share option will only appear as an option for your content if your organization has more than one space. In addition, only account owners and administrators with full rights and privileges can see and enable sharing permissions.

If you are not aware of the term spaces in ScreenCloud Studio, please review People, Groups, and Spaces to learn all about creating separate spaces for your screens, users, and content.

For your content in your Studio account, you will be able to find the share option for most of your items.

Please note: Some content might not display a share icon, and you can read further in this article to learn which apps or services cannot be shared, or how they must be used with other features to be made shareable.

As you click the share button, a window opens up, providing you with the ability to share your content to a selection of spaces of your choice or every single space in the organization with the “Share All” toggle switch.

Simply toggle a switch on or off, and the action will take effect immediately.

However, when sharing channels, there is a view-only or collaborative sharing option (along with the disabled option). You can learn about using the different sharing option with the Sharing Channels Between Spaces guide.

Once content is shared with another space, a constant share icon will appear with the piece of content.

Did you know: If you are on the Pro Plan or higher, you can also share your channel or playlist outside of ScreenCloud Studio and your screens with the Embeddable channels feature, which is possible with the “Share with others” link option.

The share icon will be visible for the item to inform you that a channel or playlist is being shared as a link. You can hover over the icon to find out the type of sharing modes that are enabled for the content, where “Anyone with the link can view” versus simply being "Shared" reveals it is being shared as a link.

There are various ways to find the share option for each type of content. Continue below to learn where.

2. Where to find the share option

2.1. Sharing a channel

You can share any channel created between spaces by opening up the share option and enabling it. As you hover your mouse over a channel, the share icon will become visible to you. Simply click on the button to open the sharing settings window.

You can also click on the share icon while previewing or editing a channel.

2.2. Sharing a playlist

As you view your playlists, hover your mouse cursor over your selected playlist.

This will reveal the share icon and option for you to click.

You can also find the share option as you edit or preview your playlist.

2.3. Sharing media with media folders

Individual media files are not able to be shared, but you can bypass this by setting your media within a folder. This folder can then be shared across spaces in your organization.

Visit the media library section of your account and hover your mouse cursor over the folder you wish to share.

Hovering your mouse cursor over the folder will reveal the share option for you, as well as the 3 dots option that you can also click to see the share button. Click the share button to enable sharing with spaces in your organization.

Please note, that you can only manage or add content to the folder by accessing it in the Space it was created. For example, if you created a folder "Office" in your "New York" space then you would need to access the media library from there to make changes.

2.4. Sharing an app

As you view an app in your apps library, you’ll find that each app will have a share option. Click the 3 dotted option button to find this.

The share button can also be found as you edit an app’s settings, by clicking the 3 dotted options button as well.

2.5. Sharing a Canvas

In your Canvas library, under “My Canvases”, hover your mouse over the Canvas you wish to share. This will reveal a three-dotted options button.

Click the button to find the share option.

Alternatively, the share button can also be found as you edit the Canvas, under the same options button.

2.6. Sharing a Dashboard

In Studio, head to your Dashboards library, and find the Dashboard that you wish to share with another space.

Hover the mouse over your Dashboard, and click the three-dotted option button to find the share button.

Don’t see Dashboards in your account? ScreenCloud Dashboards is a premium feature that is available on the Pro Plan or Enterprise Plan. You can find the pricing for the plans here. If you wish to upgrade your current plan so that you can use Dashboards, please contact ScreenCloud support or reach out to your Customer Success Account Manager.

2.7. Sharing a link

It is not possible to share a link on its own. However, you can share a link if you place it in a channel or playlist.

3. How to access shared content

For most cases, in each library for your content, a new folder, tab, or section will appear for the shared content, labeled “Shared by Others”. The one exception is shared channels, as there are two sharing methods available.

i) In the channels page (collaborative shared channel)...

To find out where the item is being shared from, you can hover over the share icon to show the name of the space.

4. How to stop sharing content

Click the share icon, and toggle off each sharing switch, or set the sharing option to disabled. This will remove the content from other spaces and where it might have been on display on a screen, and also remove the sharing icon from the content.

5. FAQ

Why is my app not in a shared playlist or channel?
Certain apps, especially premium apps, currently can’t be shared across spaces at this time. The non-shareable apps are:

  • Emergency Alerts

  • Playgrounds

  • ScreenCloud Broadcast

  • Team News

My email is connected to two separate organizations. Can I share content between the two organizations I am connected with?
No, this is not possible. You can only share content between spaces in a single organization.
